Invitations used to go out by email, with replies typed into Excel by hand. It was hard to see who had replied and who had not, and some guests slipped through.
We invited 230 guests and 210 confirmed. Every invitation was personal and the reminders went out on their own. We followed every reply in one place, without spreadsheets or paper, and it saved our organisation more than two working days.

Business calendars fill up weeks ahead, and the caterer and venue want final numbers two to three weeks before. This plan works back from the conference date.
10 to 12 weeks before: save the date and prototype
Send your logo, the date and the venue. A free prototype arrives the same or next working day, and guests save the date to their calendar with one tap. You can add the agenda later.
6 to 8 weeks before: invitation and registration
Every guest gets a personal link by email or SMS, and you import the list from Excel. The finished invitation is ready 2 working days after you confirm.
Until the deadline: reminders
An automatic reminder goes only to those who have not registered, at 10:00, when people read their email.
2 to 3 weeks before: registration deadline
Export the attendee list to Excel, with workshops and dietary needs, and send it to the caterer and the venue.
On the day: QR check-in
Staff scan each guest’s personal ticket with a phone, with no app to install. Agenda changes show up instantly on the same link.
After the conference: thank-you
A thank-you message to everyone who attended (€100).

When should we send conference invitations?
A save the date ten to twelve weeks before, the invitation six to eight weeks before, and a registration deadline two to three weeks before, when the caterer and venue need final numbers. Guests who travel need the early notice.
How much does a digital conference invitation cost?
Start (a ready-made design in your colours, with your logo) costs from €290 for up to 50 guests, and Brand (an invitation built on your identity) from €680. You pay once per event, with no subscription. The full price list by guest count is in the table above.
How quickly can we start?
We send a free prototype with your conference name the same or next working day. The finished invitation is ready 2 working days after you confirm. For an event less than 5 working days away we work urgently, for +30%.
Can the registration collect workshops, company and dietary needs?
Yes. They are your own questions in the registration: 3 in Start, up to 8 in Brand. Every answer exports to Excel, for the caterer, the venue and the door list.
How does QR check-in work at a conference?
Every registered guest gets a personal QR ticket straight away, on the page and by email. At the door, staff scan it with a phone, with no app. QR check-in is included in both packages.
Is sending invitations to partners and clients GDPR compliant?
Yes. Guest data is stored in an EU database, you are the controller and we are the processor under a data processing agreement (Art. 28 GDPR). Personal data is anonymised after the event, and the invitation carries no ad trackers.
