Christmas Party Invitation Wording for Employees: 12 Samples

Good Christmas party invitation wording for employees fits in four to six sentences: who is hosting, when and where, whether partners are invited, and the date to reply by. Send it three to six weeks before the party and set the RSVP deadline ten to fourteen days out, when the venue needs final numbers. Below are 12 ready-to-copy examples, from formal to relaxed.

The wording comes from real sends: in October 2026 we sent 1,014 personal corporate event invitations for two company celebrations. So you also get a sending timeline, a checklist of what every invite needs, and a way to collect RSVPs without a spreadsheet.

What should a work Christmas party invitation include?

After reading it, an employee should be able to answer seven questions. Leave one open and the “quick question” emails start arriving:

  • Who is hosting: the leadership team, the CEO or the people team. The signature sets the tone.
  • When: day, date and start time, plus the time of any speeches or awards.
  • Where: venue name and full address, with parking or transport if it’s out of town.
  • Who can come: employees only, or partners too. This is the most common source of confusion.
  • RSVP deadline: a real date, not “as soon as possible”.
  • How to reply: one channel only. A link, an email or a form, never all three.
  • Practical details: dietary needs, dress code if there is one, and who to ask.

How far in advance should you send a company Christmas party invitation?

Three to six weeks before the party. Here is the timeline counting back from a party on Friday, December 11:

WhenWhatNote
6–8 weeks beforeSave the dateFor 150+ guests, out-of-town staff or when partners are invited
3–6 weeks beforeInvitation with RSVP deadlineFor December 11, send it around November 6
7 days before the deadlineFirst reminderOnly to people who haven’t replied, during the working morning
2 days before the deadlineSecond reminderShort, with the deadline date
10–14 days beforeRSVP deadlineFinal numbers for the venue and caterer, e.g. November 27
2–3 days beforeMessage to attendeesSchedule, parking, any changes

Three weeks is the minimum. Earlier than six weeks the invitation gets forgotten, so send a save the date first and the invitation with the deadline later.

Formal Christmas party invitation wording

Example 1 — formal, from the leadership team
Dear colleagues, The Board of [Company] cordially invites you to our annual Christmas party on Friday, December 11, 2026, at 7 pm, [Venue, address]. Thank you for everything you have achieved this year. We look forward to celebrating with you. Please RSVP by Friday, November 27. [Name], Chief Executive Officer
Example 2 — formal, short
You are invited to the [Company] Christmas party on Friday, December 11, at 7 pm, at [Venue]. Please confirm by November 27 using your personal link in this invitation.

Relaxed wording for your team

Example 3 — warm, team voice
Hi team, What a year. Before the holidays, we want to celebrate it with you. Join us on Friday, December 11, from 7 pm at [Venue]. Food, music and good company are sorted. All you need to do is show up. Let us know if you’re coming by November 27.
Example 4 — a little humour
The spreadsheets are taking a break. So are we. Friday, December 11, 7 pm, [Venue]. Dress code: anything except the hoodie you wear on video calls. RSVP by November 27, so the kitchen knows how many mince pies to make.

The rule for humour: joke about work or the company, never about a person or a team. Keep the date, venue and deadline outside the joke.

How do you word an invitation with or without partners?

Example 5 — partners welcome
This year we’re celebrating with the people who put up with us at home all year. You and your partner are invited on Friday, December 11, at 7 pm, at [Venue]. When you reply, add your guest’s name and any dietary requirements.
Example 6 — employees only
This year’s party is a night for our team: Friday, December 11, at 7 pm, at [Venue]. The party is for employees only, so please come without a plus-one. Please RSVP by November 27.

State the plus-one rule explicitly. With a digital invitation you can allow a plus-one only for specific guests, so each person sees the rule that applies to them.

Invitation wording for a hybrid or remote team

Example 7 — team across several cities
All year we’ve met in little boxes on a screen. On December 11, we meet in person. Christmas party: Friday, 7 pm, [Venue, City]. For colleagues travelling in, we cover transport and a hotel night until Saturday. When you reply, tell us if you need a room. RSVP deadline: November 20.

For a distributed team, move the deadline a week earlier: hotel rooms need booking before the venue headcount.

Holiday party invitation for clients and partners

Example 8 — client event
Dear [Name], Thank you for working with us in 2026. We would be delighted to welcome you to the [Company] holiday reception on Thursday, December 10, from 6 pm, [Venue, address]. Kindly reply by November 26. We look forward to seeing you. [Name], Managing Director

Address clients by name, not “Dear partners”. For external guests the invitation is part of your brand, so use your colours and logo.

Reminder and attendee message wording

Example 9 — reminder to non-responders
We haven’t heard from you yet about the Christmas party on Friday, December 11. The RSVP deadline is Friday, November 27. One tap on your link and you’re done.
Example 10 — message to attendees
See you on Friday! Doors open at 7 pm, [Venue, address]. Parking is in the [name] garage, entrance on [street]. Your QR ticket is in this message.

RSVP deadline and dietary question lines

Example 11 — RSVP deadline (pick one)
Please RSVP by Friday, November 27. We send final numbers to the venue on November 27, so please reply by then. Please reply even if you can’t make it, so we order exactly the right amount of food.
Example 12 — dietary question
Do you have any dietary requirements? □ Vegetarian □ Vegan □ Gluten-free □ Allergy: ______________ We ask so that everyone at the table has something they can eat and enjoy.

Email subject lines that get opened:

  • “Invitation: Christmas party, Friday Dec 11”
  • “[Name], will we see you at the Christmas party?”
  • “Please RSVP by Nov 27: company Christmas party”

A date in the subject line lets people recognise the invite without opening it. Words like “FREE” and a row of exclamation marks look like marketing to spam filters.

How do you collect RSVPs without a spreadsheet?

The classic flow takes days: a PDF attachment, replies spread across email, Teams and the corridor, then copying everything into a spreadsheet and chasing the people who stay silent. By our estimate that is about 16 hours of work for a 200-guest event.

A digital invitation turns this around. Every guest gets a personal link with their name and replies with one tap, no app or password. In the same step they add a plus-one, dietary needs and your own questions. Reminders go out automatically, only to people who haven’t replied, and the list fills itself and exports to Excel when the venue asks.

Chasing3 h of calls and emailsReminders go out on their own

A real result: at the December 2025 Christmas party of the Croatian company Tehnoguma, 230 guests were invited and 210 confirmed, which is 91 %. Their managing director put it this way: “Every invitation was personal and the reminders went out on their own. We followed every reply in one place, without spreadsheets or paper, and it saved our organisation more than two working days.”

Five mistakes in office party invitations

  • No RSVP deadline. Without one, half the replies arrive the week before, when the venue can no longer change numbers.
  • A vague plus-one rule. Say explicitly whether partners are invited.
  • The invitation as a PDF attachment. Corporate filters often hold attachments from unfamiliar senders, and a PDF is hard to read on a phone.
  • Three reply channels. Email, Teams and “just tell me” means three lists.
  • The dietary question as an afterthought. Ask it in the RSVP, not in a separate round of emails the week before.

Frequently asked questions

What do you write on a work Christmas party invitation?
Who is hosting, the day, date, time and address, whether partners are invited and the RSVP deadline. One sentence of thanks for the year sets the tone. Add a dietary question and a contact for practical questions.
How far in advance should you send a company Christmas party invitation?
Three to six weeks before the party. For a party in mid-December, that means late October to mid-November. For 150 or more guests or out-of-town staff, send a save the date six to eight weeks ahead.
When should the RSVP deadline be?
Ten to fourteen days before the party, because the venue and caterer need final numbers then. For a team travelling in from several cities, set it a week earlier for hotel bookings.
Should you send RSVP reminders to employees?
Yes, two are enough: seven and two days before the deadline, only to people who haven’t replied. At Tehnoguma’s Christmas party, with automatic reminders, 210 of 230 guests confirmed, which is 91 %.
How do you ask employees about dietary requirements?
Put the question in the same RSVP, with set options (vegetarian, vegan, gluten-free) and a field for allergies. You get the answer together with the confirmation, without another round of emails.
