Good birthday invitation wording says, in two to five sentences, whose birthday it is, when and where you are celebrating and when to reply by. Match the tone to the person: a joke for friends, warmth for family, something more formal for a milestone. Below are 20 examples to copy, by age and by tone. Replace the parts in square brackets and you are done.
What should a birthday invitation include?
| Detail | Why it matters | Example |
|---|---|---|
| Whose birthday | Guests know at once what it is | “Mark is turning 40” |
| Date and time | The weekday prevents mix-ups | “Saturday, June 12, at 8 pm” |
| Venue and address | No follow-up calls | Venue name, street, town, parking |
| Reply deadline | Venues need numbers in advance | “Let me know by June 1” |
| Plus-ones | Settles an awkward question | “Partners welcome” |
| Gifts, if it matters | People will ask anyway | “Your presence is the only gift I need” |
| Dress, if it matters | Nobody turns up wrongly dressed | “Theme: the eighties” |

When should you send a birthday invitation?
This is our recommendation rather than a rule. Count back from the party:
| Party | Invitation | Reply by |
|---|---|---|
| Informal, at home or in a café | 1–2 weeks before | 3–4 days before |
| Dinner or party at a venue | 3–4 weeks before | 7–10 days before |
| Milestone birthday, larger group | 4–6 weeks before | 2 weeks before |
| Guests who travel or stay overnight | 6–8 weeks before | 3 weeks before |
Match the reply deadline to the venue: ask when they need the final number, then set your deadline a few days earlier. For how to ask for a reply, see what RSVP means.
Mistakes that stop guests from replying
- No deadline. “Let me know when you can” means half of them reply on the day.
- No weekday. A date without a day is easier to put in the calendar wrongly.
- Plus-ones not mentioned. Guests don’t like to ask, and you don’t get a number.
- Three ways to reply. Texts, calls and messages turn into three lists.
Paper, message or digital invitation?
A group message is enough for a small get-together, but it soon disappears among other messages. A paper invitation is lovely for a milestone, but it means printing, delivery and collecting replies by hand. A digital invitation is sent as a link, with the time, a map and a reply button in one place.
Sealdate is a digital invitation platform for every occasion. You can put the wording from this guide into one of our birthday invitations, which guests open on their phone. It is free for up to 20 guests, with a sealdate signature. Without the signature and with unlimited guests it costs €19 one-time. Planning a party for a child? See kids’ birthday invitation wording.
Frequently asked questions
- What do you write in a birthday invitation?
- Whose birthday it is, the day, date and time, the venue and address, and a reply deadline. If it matters, add a line about plus-ones, gifts or dress. For an informal party, two sentences are enough.
- How far in advance should you send a birthday invitation?
- We recommend three to four weeks for a dinner or party at a venue, four to six weeks for a milestone birthday with a larger group, and one or two weeks for an informal get-together.
- How do you word a funny birthday invitation?
- Joke about yourself, your age or the organisation, but keep the details clear: date, time, place and deadline. The joke should never hide what the guest needs to know.
- How do you say no gifts on a birthday invitation?
- One line is enough, such as “Your presence is the only gift I need”. If you like, suggest an alternative such as a donation to a cause. Without a line like this, guests will probably bring something anyway.
- Can I send a birthday invitation on WhatsApp?
- Yes. A digital invitation is a link that opens in the browser, with no app and no sign-up, so it works in WhatsApp, Viber and email.
